Google User Data Disclosure

OneScribe uses Google APIs to provide account authentication and calendar integration. Here is how we access, use, store, and share Google user data:

Account Creation & Authentication

  • Data Accessed: When you sign in with Google, we access your email address, name, and profile picture from your Google account.
  • How We Use It: This information is used solely to create and authenticate your OneScribe account, personalize your experience, and communicate with you about your account.
  • Storage: Your Google profile information is stored securely in our database and associated with your OneScribe account.
  • Sharing: Your Google account data is not shared with any third parties except as required to provide our service.

Google Calendar Integration

  • Data Accessed: When you connect your Google Calendar, we access your calendar events including event titles, times, meeting URLs, participant lists, and event descriptions.
  • How We Use It: Calendar data is used to automatically detect scheduled meetings and enable automated meeting recording. We scan for meetings with video conference links to offer recording services.
  • Storage: Calendar event data is stored temporarily to schedule recordings. Event metadata is retained with meeting transcriptions for context and organization.
  • Sharing: Meeting URLs from your calendar are shared with Recall.ai, our meeting recording provider, to enable automated recording of your meetings. No other calendar data is shared with third parties.

Revoking Access

You can revoke OneScribe's access to your Google account at any time through your Google Account permissions settings. Revoking access will disable Google Sign-In and calendar integration features but will not delete your existing OneScribe account or transcription data.

OneScribe's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

2. How We Use Your Information

Primary Purpose: Service Delivery

We use your data exclusively to provide OneScribe's conversation intelligence features. This includes transcription, analysis, insights generation, and search functionality.

  • Analysis: Generating insights, sentiment analysis, and conversation summaries
  • Search: Enabling you to find specific conversations and topics

Action Items

Automatic extraction of tasks and follow-ups from conversations, with manual creation and tracking capabilities.

OneLive

Real-time recording and transcription for live sessions, with instant AI analysis as you speak.

OneChat

Conversational Q&A against your transcriptions, allowing you to ask questions and get AI-powered answers from your conversation data.

3. Data Sharing and Disclosure

Trusted partners who help us deliver our service (cloud hosting, payment processing, customer support). All have strict data protection agreements.

Legal Compliance

Only when required by law, court order, or to protect rights and safety. We'll notify you unless legally prohibited.

Business Transfer

In the unlikely event of a merger or acquisition, data would transfer under the same privacy protections.

Our Service Providers

We work with carefully selected service providers to deliver our services. Each provider has strict data protection agreements and processes data only as necessary:

AI Processing

We use Google Gemini to generate transcription summaries, insights, and analysis. Google processes transcription text only to deliver results and does not retain your data for model training.

Transcription Services

AssemblyAI provides our speech-to-text transcription capabilities. Audio files are processed to generate accurate transcriptions with speaker detection.

Meeting Recording

Recall.ai powers our automated meeting recording feature. When you connect calendar integrations, their service joins meetings on your behalf to capture audio and video.

Calendar Integration

We integrate with Google Calendar through their official API. This allows automatic meeting detection and scheduling. We only access calendar data you explicitly authorize.

Payment Processing

Stripe handles all payment processing. Your payment card details are sent directly to Stripe and never touch our servers. Stripe is PCI-DSS compliant and processes payments in accordance with their privacy policy.

6. Data Retention

Active Accounts

We retain your conversation data for as long as you maintain an active OneScribe account. You can delete specific conversations or your entire account at any time.

Account Deletion

When you delete your account, we permanently delete all conversation data within 30 days. Some basic account information may be retained for legal compliance (up to 7 years).

Backup Data

Backup copies are securely deleted within 90 days. During this period, backup data remains encrypted and inaccessible for normal operations.

Feature-Specific Retention

  • Meeting Recordings: Retained until you delete them or your account is closed.
  • OneSearch Cache: Search results are cached for performance optimization and automatically refreshed periodically.
  • Action Items: Retained until you mark them complete and delete them, or until account closure.
  • OneChat History: Conversation history is retained with your transcriptions until deleted.
  • Usage Metrics: Feature usage counts reset monthly for billing purposes.

7. International Data Transfers

OneScribe is based in the United States, and our data is stored on secure servers located in the US. If you're located outside the US, your data may be transferred to and processed in the US.
